Privacy Policy for NeetoCal for Zoho CRM

This Privacy Policy explains how GreenPump Energy Inc. (“GreenPump Energy,” “we,” “us,” or “our”) handles information through the NeetoCal for Zoho CRM Chrome extension (“the Extension”).
The Extension is intended for authorized GreenPump Energy employees and other authorized internal users. It allows users to schedule NeetoCal appointments from supported Zoho CRM records, prefill booking information, and synchronize confirmed appointment details back to Zoho CRM.
1. The Extension’s purpose
The Extension has the following limited business purpose:
- Allow authorized users to initiate a NeetoCal booking from Zoho CRM.
- Prefill NeetoCal booking fields using information from the applicable Zoho CRM record.
- Read the details of a confirmed NeetoCal appointment.
- Create or update the corresponding meeting and related information in Zoho CRM.
- Associate the appointment with the applicable Zoho CRM Lead, Deal, Contact, or Meeting record.
The Extension is not used for advertising, behavioural profiling, unrelated employee monitoring, credit decisions, or the sale of personal information.
2. Information the Extension processes
The Extension processes only information reasonably required to provide its appointment-booking and CRM synchronization functions.
2.1 Customer and CRM record information
Depending on the applicable Zoho CRM record and the configured NeetoCal form, the Extension may process:
- Customer or prospective customer name.
- Email address.
- Telephone number.
- Street address.
- City, province, and postal code.
- Zoho CRM record identifiers.
- Information contained in the relevant Lead, Deal, Contact, or Meeting record.
- Appointment notes or other information entered into the NeetoCal booking form.
2.2 Appointment information
The Extension may process confirmed appointment information, including:
- Appointment title or meeting type.
- Appointment date and start and end times.
- Appointment duration.
- Appointment location.
- NeetoCal booking identifier.
- Selected appointment host or assigned employee.
- Information submitted through the booking form.
2.3 Authorized employee information
To identify or assign the appropriate Zoho CRM meeting owner, the Extension may process information about authorized Zoho CRM users, such as:
- Employee name.
- Business email address.
- Zoho CRM user identifier.
- Zoho CRM account or organization information.
2.4 Authentication information
The Extension uses the authorized employee’s existing authenticated Zoho CRM browser session to perform permitted CRM actions.
The Extension may temporarily read and use a Zoho CRM CSRF security token and authenticated session cookies when sending requests directly to Zoho CRM. These values are used only to authenticate requests made within the employee’s existing Zoho CRM session.
The Extension does not ask users to provide their Zoho CRM password, does not collect passwords, and does not store Zoho CRM login credentials in Chrome storage.
2.5 Website content
The Extension operates only on supported Zoho CRM and NeetoCal pages. It may read relevant page content and form values required to:
- Recognize the current Zoho CRM record.
- Prefill the NeetoCal booking form.
- Determine whether an appointment has been confirmed.
- Extract confirmed appointment details.
- Synchronize the confirmed appointment with Zoho CRM.
The Extension does not collect a general history of websites visited and does not monitor unrelated browsing activity.
3. How information is collected
The Extension processes information through:
- The Zoho CRM page currently being used by an authorized employee.
- Requests made directly to Zoho CRM using the employee’s existing authenticated session.
- Fields displayed or submitted through the NeetoCal booking page.
- Appointment details displayed after a NeetoCal booking is confirmed.
- Configuration settings entered through the Extension’s options page.
The Extension is activated as part of an employee-initiated workflow, such as selecting “Add new appointment” from a supported Zoho CRM record.
4. How information is used
Information processed by the Extension is used to:
- Prefill appointment forms and reduce duplicate manual data entry.
- Create and manage appointments requested by authorized users.
- Create or update Zoho CRM Meeting records.
- Update related Zoho CRM Lead, Deal, Contact, or Meeting information when required.
- Associate confirmed appointments with the correct CRM record.
- Assign an appointment to the appropriate authorized employee.
- Maintain the Extension’s user-configurable settings.
- Diagnose errors and maintain the security and reliability of the Extension.
Information is not used for purposes unrelated to the Extension’s appointment-booking and CRM synchronization functions.
5. Chrome storage
5.1 Synchronized configuration storage
The Extension uses Chrome synchronized storage to save configuration information, including:
- The configured NeetoCal booking URL.
- The mapping between Zoho CRM fields and NeetoCal booking-form fields.
These settings may be synchronized by Google Chrome across browsers where the authorized user is signed in and Chrome synchronization is enabled.
5.2 Temporary session storage
During an active booking, the Extension uses Chrome session storage to temporarily hold the booking context required to transfer relevant CRM information to the NeetoCal booking window.
Temporary session information may include relevant customer information, the originating Zoho CRM record reference, and the browser tab associated with the booking workflow.
This temporary information is removed when:
- The booking is completed.
- The NeetoCal booking window is closed.
- The applicable browser tab is closed.
- The browser session ends.
6. Parties with which information is shared
The Extension transfers information only as necessary to provide its disclosed appointment-booking and CRM synchronization functions.
6.1 Zoho CRM
The Extension reads information from and writes information to GreenPump Energy’s Zoho CRM environment. This may include retrieving CRM records, updating related records, and creating or updating meeting records.
6.2 NeetoCal
Relevant customer and appointment information is entered into or processed through NeetoCal so that an authorized user can schedule the requested appointment.
6.3 Google Chrome
Chrome’s extension storage functionality is used to store configuration settings and temporary booking context. Where Chrome synchronization is enabled, configuration settings may be processed through the user’s Google Chrome account.
6.4 GreenPump Energy
Appointment and CRM information may be accessible to authorized GreenPump Energy personnel who require that information for scheduling, sales, customer service, administration, installation, or related business operations.
We do not sell personal information or transfer it to data brokers, advertisers, or other parties for unrelated commercial purposes.
7. Data retention
The Extension itself does not maintain a separate permanent customer database.
Temporary booking context stored in Chrome session storage is removed when the booking workflow ends, the relevant tab is closed, or the browser session ends.
Extension configuration settings remain in Chrome synchronized storage until they are changed, deleted, the Extension’s stored data is cleared, or the Extension is removed.
Information saved in Zoho CRM or NeetoCal is retained according to GreenPump Energy’s applicable business record-retention practices and the respective platform’s settings and policies.
8. Data security
The Extension communicates with supported Zoho CRM and NeetoCal services using encrypted HTTPS connections.
Access to the Extension is intended to be limited to authorized users. The Extension relies on the employee’s existing authenticated Zoho CRM and NeetoCal access and does not independently store employee passwords.
We use reasonable administrative and technical measures designed to protect information against unauthorized access, use, alteration, or disclosure. However, no browser extension, online service, or method of electronic transmission can be guaranteed to be completely secure.
9. Chrome Web Store Limited Use disclosure
The Extension’s use and transfer of information received from supported websites and services complies with the Chrome Web Store User Data Policy, including the Limited Use requirements.
In particular:
- Information is used only to provide or improve the Extension’s disclosed appointment-booking and CRM synchronization functionality.
- Information is not sold to third parties.
- Information is not used or transferred for personalized advertising.
- Information is not used or transferred to determine creditworthiness or for lending purposes.
- Information is not used for purposes unrelated to the Extension’s single purpose.
- Human access to information is limited to circumstances where it is required for authorized business operations, support, security, legal compliance, or with the user’s consent.
10. No sale of personal information
GreenPump Energy does not sell personal information processed through the Extension.
We also do not share personal information processed through the Extension for cross-context behavioural advertising.
11. User choices and requests
Authorized users may:
- Change the NeetoCal URL and field-mapping settings through the Extension’s options page.
- Clear the Extension’s stored configuration through Chrome.
- Remove or disable the Extension, subject to GreenPump Energy’s device-management policies.
- Contact GreenPump Energy with a question or request concerning information handled by the Extension.
Requests concerning customer or appointment information stored in Zoho CRM or NeetoCal may be subject to applicable legal requirements, identity verification, record-retention obligations, and GreenPump Energy’s internal policies.
12. Children’s privacy
The Extension is an internal business tool and is not directed to children. It is not intended for independent use by individuals under the age of 18.
13. Changes to this Privacy Policy
We may update this Privacy Policy when the Extension’s functionality, information-handling practices, service providers, or legal obligations change.
The updated version will be posted on this page with a revised “Last updated” date. Where required, material changes will also be disclosed through the Extension, the Chrome Web Store listing, or another appropriate notice.
